Wusora runs the software that competition organizers use to take registrations, publish schedules, check athletes in and sell merchandise. This page explains what we collect, who can see it and how to ask for a copy of it or have photos of an athlete removed.
Who is responsible
Each competition is run by an organizer: a school, club or association that uses Wusora. The organizer decides what their registration form asks and what they do with the answers. Wusora stores and processes that information for them.
For your Wusora account itself, and for the public pages on this site, Wusora (Massachusetts) is responsible. Questions go to support@wusora.com.
What we collect
What an organizer's form asks varies. Across the site we may hold:
- Athlete details: name, birth date, gender, team or school, and the events entered.
- Contact details: email, phone and address, when the form asks for them.
- Parent or guardian details for minors, and the injury liability waiver and photo release they agree to, with the time and the wording shown.
- Payment records: amount, status and receipt. Card and bank details go straight to Stripe or PayPal. We never see or store full card numbers.
- Event-day records: competitor code, check-in time, merchandise handed out, running order and results.
- Photos and video taken at events, when the organizer publishes them.
- Sign-in and language cookies, and basic server logs (time, page, browser) used to keep the site working and secure.
How it is used
To register you, build divisions and running orders, check you in, run the competition, publish results, send your confirmation and receipts, and answer support questions. Organizers may email you about their events. Marketing emails go only to people who opted in, and every one has an unsubscribe link.
We don't sell personal information, and we don't use it for advertising.
What the public can see
Live pages and other athletes' portals show a competitor as first name and last initial (for example "Wei L."), with their division and place in the running order. Birth dates, contact details and payment information are never public.
Screens in the venue and official printed lists, such as start lists and the program book, may show full names. Published results show the names the organizer publishes.
Children and minors
Athletes under 13 can only be registered by a parent or guardian. For athletes under 18, a parent or guardian signs the injury liability waiver.
A parent can ask for a copy of their child's information, or for photos of them to be removed, at the data request page or by writing to support@wusora.com.
Photos and video
Competitions are often photographed, filmed and streamed, and organizers may publish that material. Every registration form asks whether the athlete's photo may be published. For athletes under 18, a parent or guardian answers.
If the answer is no, you can still register. The athlete's photo is hidden on every public Wusora page, and the organizer's staff see a “No photos” tag next to their name. We can't promise the athlete won't appear in crowd shots or a live stream.
How long we keep it
Registrations and payment records are kept for the organizer's records, such as results history and accounting. Photos of an athlete are removed on request.
Your choices
You can ask to see or correct your information, have photos removed, or stop marketing email at the data request page or by writing to support@wusora.com. Your registration confirmation also links to a page where you can edit your details. We may ask you to confirm your email before acting on a request.
Security
Data is encrypted in transit, and access is limited to the organizer's staff and the Wusora team who support them. Portal and edit links work like passwords: anyone holding one can open that page, so don't share them.
Changes and contact
If this policy changes, we'll update the date at the top. Questions: support@wusora.com.
